STOCKALPHA — ARCHIVE TO STOCK Manual preparation kit | 1 November 2026 https://stockalpha.io/guides/sell-photos-from-existing-library FILES archive-to-stock-assessment.csv — twenty empty review rows. ten-photo-stock-pilot-tracker.csv — ten empty submission/outcome rows. These sheets are for your records. They are not agency metadata upload formats. 1. PICK ONE KNOWN COLLECTION Choose a trip, subject or personal project with accessible originals. Keep a separate backup. Select distinct candidates rather than every similar frame. Ten pilot photographs is an exercise size, not an approval or sales promise. 2. COMPLETE THE ASSESSMENT Use local_filename to identify the working master/export without renaming the original. Record your collection, subject and whether capture date/location and the original are available. In review fields, describe what you checked and any question still unresolved. A tick is your note, not legal or agency clearance. Check ownership/licensing permissions, applicable releases, client agreements and per-file exclusivity before including work. Keep identity documents out of these sheets; use the agency's own verification process. 3. PREPARE A PILOT Choose the agency and applicable commercial/editorial instructions. Inspect each finished export at full size. Check format, dimensions, profile and file size against current requirements. Review captions and keywords against the final crop. Use preparation_needed and review_notes for unresolved questions. Mark pilot_selected only for the files you want to carry into the pilot log. 4. TRACK DISTINCT OUTCOMES Copy the final local filename and destination into the ten-photo tracker. Record submitted_at, the actual review_outcome and any rejection feedback. After approval, check the public listing and record its URL or agency asset ID in your notes. Upload, submission, approval, listing and sale are separate events. Do not put made-up dates, approvals or royalties into your records. 5. REVIEW THE WORK Record time spent selecting, editing, describing and submitting in your own notes. Review actual agency feedback before expanding the batch. Check current resubmission rules before sending a corrected file. Track sales only from real agency records; a large archive does not establish likely income. WORK WITH THE SHEETS Open them in a spreadsheet app and save a working copy. Add review rows when useful. When exporting CSV later, inspect it for quoting/encoding changes. The sheets stay where you save them; downloading them does not upload photos, scan a catalogue or create an agency account.
